Knows The Drill

For venue owners and venue sales teams

Virtual assistants for event venues

Keep each venue inquiry connected to the date, space and information behind it. An assistant can coordinate tours, follow up on proposals and prepare event files for your operations team. We recruit and prepare them for your venue and agreed responsibilities before handoff.

Find your assistant

A promising inquiry should not disappear between the tour and the handoff.

The organizer has asked for a date, the sales team has sent a proposal and operations still needs a layout decision. Without a shared record, a tentative detail can become an assumption that follows the event all the way to setup.

Your assistant can maintain the inquiry and event file, distinguishing requests, holds and confirmed commitments. Venue sales and operations retain control over the space and the agreement.

The work to hand off

Keep the venue sales record useful to operations.

01

Inquiry and tour coordination

Collect the date, event type, estimated attendance and space requirements. Coordinate tours from the availability your venue team supplies and gather questions before the visit.

What you get back: An inquiry brief and tour record with the next sales action

02

Date holds and proposal follow-up

Track holds, expiry rules and proposal responses in your approved system. Follow up with organizers and bring competing requests to the person who controls availability.

What you get back: A date-status register that distinguishes an inquiry, hold and confirmed booking

03

Event-file completeness

Request the contacts, schedules, vendor details and documents your venue checklist calls for. Show receipt and review status separately so operations can see what is still unresolved.

What you get back: An event file with missing items and assigned reviewers

04

Operations and organizer updates

Maintain the current version of the agreed event details and route changes to the relevant venue owner. Record confirmed decisions and distribute them to the designated contacts.

What you get back: An operations brief linked to the current event agreement

Shape the role around the workload

Do venue inquiries create a sustained office workload?

A useful fit when

  • You receive recurring inquiries and tours while confirmed events need document and schedule follow-up.
  • Sales and operations can maintain a shared booking record and name the owner of each decision.

Discuss the setup first

  • A few occasional bookings may be better handled as a smaller project; scope the workload before choosing full-time managed support.
  • If you need an on-site venue coordinator or someone to make safety and layout decisions, those responsibilities need separate staffing.

Managed support provides a dedicated, full-time assistant. Direct-hire responsibilities, hours and employment terms are agreed during matching.

Keep control of the space with your venue team.

The assistant maintains records and coordinates communication around the venue's decisions.

  • The venue decides capacity, accessibility, safety, staffing and suitability of an event or layout.
  • Sales or the authorized manager approves contracts, pricing, date priority and booking exceptions.
  • On-site setup, guest response and emergency handling remain with the on-site team.

Bring a booking that required too many follow-ups.

  • 01Your inquiry form, tour calendar and authoritative availability record.
  • 02Date-hold rules and the evidence that confirms a booking.
  • 03Your event-file checklist and sales-to-operations handoff format.
  • 04Contacts for layout, vendor access, contract and on-site questions, plus working hours and tools.

Recruit. Prepare. Hand over.

Recruited for you. Trained for your industry.

First, we discuss your niche and the work you want your assistant to own. Then we recruit and prepare them in depth for the industry and responsibilities agreed with you before handoff. The matching conversation defines the skills, tools and preparation time your role needs.

We assess English fluency, practical problem-solving and independent judgment, so your assistant can work through the next step and recognize when to bring you in.

Before you bring someone on

How is this different from an event-planning assistant?
A venue assistant works around your space, availability, bookings and operations handoff. An event-planning assistant coordinates a client's overall event and vendors. The roles may collaborate, but their decision owners and records differ.
Can an assistant confirm a venue booking?
They can communicate a confirmation using the evidence and authority your venue defines. A request or date hold should not be marked confirmed simply because the organizer has replied.
Can they collect vendor documents?
They can request and organize the items on your checklist and track receipt. Your designated reviewer decides whether insurance, access or other documents satisfy the venue's requirements.
Can the role cover evenings or event days?
Discuss the hours and escalation route during matching. Remote coordination does not by itself provide continuous coverage or on-site response. Coverage and preparation are agreed for the specific role.
What are the hiring options?
Managed support supplies a dedicated, full-time assistant with ongoing team support for a monthly fee. Direct hire covers recruitment and training for a placement fee before you hire the assistant. Responsibilities, hours, fees and terms are agreed first.

Give each booking a record your venue team can use.

Bring your inquiry, hold and event-file process. We will help define what an assistant can coordinate and how decisions reach sales or operations.
