Knows The Drill

For franchise owners and multi-location operators

Virtual assistants for franchise owners

Keep location questions and follow-up moving while you focus on running the network. Your assistant can organize requests, reporting inputs and recurring coordination across units. Knows The Drill recruits and prepares them for your franchise business and agreed responsibilities before handoff.

Find your assistant

A question from one location should arrive with the context to answer it.

One manager needs a supplier update. Another has submitted an incomplete report. A new location is waiting for onboarding materials. When all of those requests land with the owner, routine coordination becomes a daily distraction.

Give your assistant a common way to capture requests and the right contacts to resolve them. Each location keeps its identity, owner and outstanding action visible in the shared record.

The work to hand off

Create consistency across the location queue.

01

Coordinate location requests

Capture the location, request type and information your operations team needs. Send routine responses from the agreed guidance and route exceptions with the original request and supporting records.

What you get back: A location request queue with owners and next steps

02

Gather recurring reporting inputs

Request the fields and source records your team specifies from each location. Mark missing or inconsistent submissions and organize the received inputs for management review.

What you get back: A reporting packet showing received and outstanding inputs

03

Support location onboarding

Use the approved opening or onboarding checklist to distribute materials, arrange training sessions and track acknowledgments. Bring missing requirements to the responsible operations lead.

What you get back: An onboarding checklist with contacts and unresolved items

04

Follow up with shared vendors

Track orders and service requests against the correct location, gather vendor responses and prepare status updates. Requests for substitutions, price changes or additional work go to the authorized manager.

What you get back: A vendor follow-up log linked to each location

Shape the role around the workload

Is a shared assistant right for your franchise network?

A useful fit when

  • Several locations send the same kinds of requests every week.
  • Managers repeatedly chase reports, vendor replies or onboarding materials.

Discuss the setup first

  • Different units need incompatible schedules or conflicting priorities.
  • You need someone to make local operating decisions or physically inspect locations.

Managed support provides a dedicated, full-time assistant. Direct-hire responsibilities, hours and employment terms are agreed during matching.

Give locations a route to the right decision.

Define which instructions apply across the network and where individual managers retain authority. Your assistant coordinates the information within those rules.

  • Brand standards, franchise agreements and exceptions remain with your authorized leadership.
  • Local managers retain on-site operations, staffing and safety decisions.
  • Spending, supplier changes and customer remedies follow the approval limits you establish.

Bring the requests that repeat across locations.

  • 01Your location list and the roles responsible for each unit.
  • 02The common requests and instructions your team already uses.
  • 03Reporting templates, tools and required experience.
  • 04Coverage needs and a clear owner for conflicting priorities.

Recruit. Prepare. Hand over.

Recruited for you. Trained for your industry.

First, we discuss your niche and the work you want your assistant to own. Then we recruit and prepare them in depth for the industry and responsibilities agreed with you before handoff. The matching conversation defines the skills, tools and preparation time your role needs.

We assess English fluency, practical problem-solving and independent judgment, so your assistant can work through the next step and recognize when to bring you in.

Before you bring someone on

Can one assistant support multiple franchise locations?
We can discuss a shared role based on request volume, coverage hours and the work each unit generates. A central priority owner is important when locations compete for attention. Matching should reflect the actual workload across the network.
Is the service for franchisees or franchisors?
Either can use administrative support, with a different focus. A multi-unit franchisee may need location and vendor coordination; a franchisor may need franchisee requests and onboarding organized. We define the responsibilities around your position in the network.
Can the assistant enforce franchise standards?
They can distribute the approved guidance, track required acknowledgments and flag missing information. Deciding whether a location complies, interpreting the franchise agreement or approving an exception remains with your authorized team.
Can they work with our location reporting tools?
Bring the systems, templates and reports to matching. We recruit and prepare the assistant for the agreed franchise responsibilities before handoff, including the tool requirements and reporting steps you identify.
Can they help when a new location opens?
Checklist administration, training scheduling and materials follow-up can be included. Your operations team defines the opening requirements and confirms readiness. The assistant's role complements the people handling the opening on site.

Give your locations a consistent point of coordination.

Bring the repeated questions, late inputs and vendor follow-up. We will help define a role that supports the network's day-to-day working rhythm.
