Knows The Drill

For MSPs with a service queue to keep moving

Virtual assistants for managed service providers

Give engineers fewer status chases and clients a clearer next update. An assistant can coordinate ticket records, procurement follow-up and service administration. Knows The Drill recruits and prepares your assistant for your MSP's agreed workflow before handoff.

Find your assistant

Keep the service desk informed between technical actions.

A client asks for an update while the engineer is working on another ticket. A replacement device is still with the supplier. A renewal needs a response from the account owner. These requests need consistent attention even when the next technical step belongs elsewhere.

An assistant can keep the context, confirmed status and next action together. Your service lead retains control over technical assignments, incident handling and service commitments.

The work to hand off

Build a dependable layer of service coordination.

01

Prepare incoming tickets

Gather the client, contact, affected service and details your intake process requires. Check for missing information and route the record using your service team's rules.

What you get back: A ticket with usable context and a clear routing status

02

Coordinate client updates

Collect the latest confirmed update from the assigned engineer and prepare the agreed client message. Keep promised follow-up visible and flag a ticket that needs the service lead's attention.

What you get back: A current communication trail tied to the ticket owner

03

Follow up on procurement

Track approved orders, supplier acknowledgments, shipment references and outstanding questions. Connect the purchasing record to the client or service request it supports.

What you get back: A procurement queue showing confirmed status and exceptions

04

Maintain service administration records

Organize asset details, renewal dates and billing inputs from the records your team supplies. Bring conflicting information to its owner before a change is made.

What you get back: An administration queue with source records and review needs

Ready to hand over when: The ticket has a technical owner, a sourced status and a next communication action, without an invented diagnosis or resolution time.

Shape the role around the workload

Would coordination free your service team to work?

A useful fit when

  • Engineers repeatedly stop technical work to gather intake details or relay status.
  • Client and supplier follow-up needs a consistent owner across several queues.

Discuss the setup first

  • You need a help desk technician who can diagnose or resolve client incidents.
  • Your clients require coverage, access or response commitments beyond the agreed role.

Managed support provides a dedicated, full-time assistant. Direct-hire responsibilities, hours and employment terms are agreed during matching.

Coordination supports your technical team.

Define the role in your service process before granting access. An assistant's status update should reflect a named technical owner and confirmed information.

  • Diagnosis, remediation, security response and privileged technical actions stay with personnel your MSP authorizes.
  • Your service lead defines priorities, escalation rules and client commitments; the role does not imply 24/7 coverage or an SLA.
  • PSA, ticketing, RMM and client-system access are assessed separately, with the required skills and permissions agreed during matching.

Start with your ticket and communication rules.

  • 01A sample ticket showing the information your engineers need before action.
  • 02Your service queue, ownership rules and escalation contacts.
  • 03Approved client update examples and the commitments they must not exceed.
  • 04The procurement, asset or renewal records that need recurring follow-up.

Recruit. Prepare. Hand over.

Recruited for you. Trained for your industry.

First, we discuss your niche and the work you want your assistant to own. Then we recruit and prepare them in depth for the industry and responsibilities agreed with you before handoff. The matching conversation defines the skills, tools and preparation time your role needs.

We assess English fluency, practical problem-solving and independent judgment, so your assistant can work through the next step and recognize when to bring you in.

Before you bring someone on

Is this a technical help desk service?
The role described here focuses on ticket coordination, communication and administration. If you need diagnosis, endpoint work or other technical responsibilities, bring those requirements to matching so we can discuss the skills and permissions involved.
Can an assistant work in our PSA or ticketing platform?
Tell us which system you use and the actions the role needs. We discuss relevant experience, access and preparation before handoff. Familiarity with a platform does not automatically authorize access to every client environment.
Can they answer clients who ask when a ticket will be fixed?
They can relay the estimate or next update your technical owner confirms. If there is no confirmed estimate, they route the question to the service lead and record the follow-up instead of creating a new promise.
Can they help with device orders and renewals?
Yes. Supplier follow-up, shipment records, renewal reminders and administrative inputs can fit the role. Your team retains product selection, licensing decisions, purchasing authority and the client commitment.
Can the role cover evenings or weekends?
Discuss the actual schedule and queue volume during matching. Managed support is a dedicated, full-time role; direct-hire hours are agreed for the placement. Neither arrangement by itself establishes round-the-clock service coverage.

Keep the next client update from becoming another interruption.

Show us where tickets, supplier questions and service records stall. We will help define an assistant role around the coordination your engineers and account owners need.
