Knows The Drill

For warehouse and fulfillment operators

Virtual assistants for warehousing and fulfillment

Give the office a clear record of what the warehouse has reported and what still needs checking. An assistant can coordinate inbound paperwork, client updates and exception follow-up. We recruit and prepare them for your operation and agreed responsibilities before handoff.

Find your assistant

An inbound notice does not prove what arrived.

The client expected twelve cartons. The advance notice lists ten and the receiving team has not finished the count. An office update that treats any one of those numbers as final can create more work for everyone.

Your assistant can keep the documents and reported facts together, ask for missing confirmations and bring a concise exception to the warehouse owner who can resolve it.

The work to hand off

Keep warehouse records connected to the people on the floor.

01

Inbound appointment administration

Collect the booking details, references and advance shipment notices your receiving process requires. Coordinate appointment requests with the warehouse's available windows.

What you get back: An inbound appointment record with required paperwork and open questions

02

Receipt exception follow-up

Compare the client's expected record with the receiving update and log differences. Request the supporting references your team needs before an adjustment is considered.

What you get back: A receipt-exception queue linked to source documents and a warehouse reviewer

03

Fulfillment status communication

Prepare client updates from the order and warehouse statuses your team authorizes. Distinguish waiting for stock, processing and dispatched rather than infer progress from an old note.

What you get back: A client update with the latest reported status and next checkpoint

04

Document and account handoffs

Organize receipt records, return references and requested billing inputs. Flag missing data or conflicting references for the inventory or accounts owner.

What you get back: A traceable document packet for the team reviewing the exception

Illustrative workflow

Prepare an inbound quantity discrepancy for a warehouse decision.

This example follows a disagreement between expected and reported quantities without changing inventory by assumption.

The client sends an expected receipt

Assistant preparesRecord the purchase or shipment reference and the stated units.

Your team decidesWhich reference is authoritative for the planned receipt.

The warehouse reports arrival

Assistant preparesAttach the receiving update and its time; keep a pending count visible.

Your team decidesWhen the physical count is complete and who confirms it.

Numbers differ

Assistant preparesPlace the expected and reported quantities side by side, including their units.

Your team decidesWhether the discrepancy reflects packaging, shortage or a record error.

Supporting evidence is gathered

Assistant preparesRequest the documents or floor confirmation specified by the warehouse lead.

Your team decidesWhat evidence supports an inventory or billing adjustment.

The reviewer instructs the next step

Assistant preparesRecord the decision and prepare the agreed client update.

Your team decidesAny stock adjustment, claim or charge.

Illustrative example — not a client record

An inbound discrepancy brief

The example preserves a pending physical count instead of turning it into a confirmed shortage.

Receipt reference
Example entryIllustrative inbound W-14; client expects 12 cartons.
What to provide or checkLink the client's expected-receipt source and unit.
Advance notice
Example entryThe shipment notice lists 10 cartons.
What to provide or checkRetain the document that differs from the client's expectation.
Warehouse report
Example entryReceiving says the delivery arrived; final count is pending.
What to provide or checkRecord source and time; arrival is not a completed count.
Open question
Example entryAre all cartons received, and which document needs correction?
What to provide or checkSeparate the physical question from the document discrepancy.
Decision owner
Example entryReceiving lead confirms count; inventory owner decides any adjustment.
What to provide or checkIdentify the people who can establish the fact and authorize the change.

Ready to hand over when: The reviewer sees all three states and can request the missing physical confirmation without an assumed shortage entering the stock record.

Shape the role around the workload

Does the warehouse office need steady coordination support?

A useful fit when

  • Regular inbound receipts, client status requests and exceptions create a sustained administrative queue.
  • Your on-site team can provide reliable updates and name who authorizes adjustments.

Discuss the setup first

  • A remote assistant cannot replace a receiving clerk, picker or physical stock check.
  • If the main problem is missing scans or unreliable floor records, address that operating process alongside the office role.

Managed support provides a dedicated, full-time assistant. Direct-hire responsibilities, hours and employment terms are agreed during matching.

The floor confirms physical facts.

The assistant can improve the administrative record; the warehouse team remains responsible for the goods and operating decisions.

  • Physical counts, damage assessment, storage suitability and equipment safety stay with the responsible warehouse staff.
  • Inventory adjustments, claims, credits and charges follow your authorization process.
  • System access and client records are limited to the tasks and data-handling arrangements agreed for the role.

Bring one exception that keeps circling between client and warehouse.

  • 01Your inbound and receipt fields, including units and reference formats.
  • 02The people who confirm counts, damage and inventory changes.
  • 03Approved client-update wording and escalation checkpoints.
  • 04Your warehouse and order tools, access rules and expected communication hours.

Before you bring someone on

Can an assistant update our warehouse system?
They can perform the administrative actions agreed for the role with the access you provide. Changes to physical quantities, inventory status or charges should follow the authorization rules your warehouse defines.
How does this differ from logistics support?
This page focuses on warehouse receipts, fulfillment records and the handoff from the floor to the office. Our logistics page focuses on shipment status and transport coordination. The source records and decision owners differ.
Can they answer client order-status questions?
They can prepare and send updates using the current statuses your team authorizes. If the record is incomplete or conflicts with a floor report, the assistant brings that exception to the designated operations contact.
Can they handle returns or shortages?
The role can include gathering references, documenting reported facts and following up on the review. Physical inspection, disposition, claims and stock adjustments remain with the people you authorize.
What are the staffing options?
Managed support provides a dedicated, full-time assistant and ongoing team support for a monthly fee. Direct hire covers recruitment and training for a placement fee. We agree duties, tools, hours and preparation before the assistant is handed over.
