Knows The Drill

For appraisal firms with assignments to coordinate

Virtual assistants for appraisal firms

Keep assignment details and status requests organized while appraisers focus on the valuation work. An assistant can prepare order records, coordinate appointments and track client follow-up. Knows The Drill prepares your assistant for the agreed responsibilities before handoff.

Find your assistant

Keep the assignment moving without blurring who makes the valuation.

An assignment arrives with a client reference and requested due date. The inspection appointment is still tentative, and a status question comes in before the appraiser has reviewed the file. Someone needs to keep those facts together.

An assistant can maintain the administrative trail around the assignment. The appraiser accepts the work, performs the valuation and authorizes the report and professional responses.

The work to hand off

Build a clear administrative record around each assignment.

01

Prepare incoming assignment records

Gather the client reference, property details, requested dates and supplied instructions. Flag missing fields for the appraiser before the assignment moves forward.

What you get back: An intake record with source instructions and open questions

02

Coordinate inspection appointments

Collect contact availability and arrange the appointment using the appraiser's scheduling rules. Record access instructions and distinguish proposed times from confirmed appointments.

What you get back: An appointment record with contact details and confirmation status

03

Handle routine status follow-up

Gather the current status from the responsible appraiser and prepare the administrative update. Track client or AMC questions that need a professional response.

What you get back: A communication log linked to the assignment owner

04

Organize delivery and billing records

Prepare the authorized file set and record delivery through your agreed process. Gather invoice references and payment questions for the person who manages accounts.

What you get back: A delivery and billing record with supporting references

Shape the role around the workload

Where does administration interrupt appraisal work?

A useful fit when

  • Appraisers repeatedly coordinate appointments and answer routine status requests.
  • Order, delivery and billing records need a consistent administrative owner.

Discuss the setup first

  • You need valuation analysis, comparable research or professional report preparation.
  • Client or AMC terms have not established which tasks and access may be delegated.

Managed support provides a dedicated, full-time assistant. Direct-hire responsibilities, hours and employment terms are agreed during matching.

Administrative support does not replace appraisal judgment.

Agree the permitted tasks and access for your firm's assignments. Keep professional decisions and report authorization with the responsible appraiser.

  • Valuation, comparable selection, analysis, report conclusions and professional certification remain with qualified appraisers.
  • The appraiser authorizes assignment acceptance, report release and professional responses; the assistant records only confirmed status.
  • Client and AMC permissions, property information access and any non-administrative duties require review before the role begins.

Start with one assignment from order to delivery.

  • 01A sample order and the fields needed to prepare the assignment record.
  • 02Your scheduling rules, access process and appointment confirmation messages.
  • 03The appraiser who owns each assignment and approves client updates.
  • 04Your software, client portal permissions and report-release process.

Before you bring someone on

Can an assistant schedule inspections?
Yes. They can collect availability, coordinate with the appraiser and record the confirmed arrangement. Your firm defines who may be contacted, what access details may be shared and who approves the appointment.
Can they update clients or AMCs about assignment status?
They can relay administrative status confirmed by the responsible appraiser through the channels your firm permits. Questions about value, analysis, methodology or a professional commitment go to the appraiser.
Can they upload reports to a client portal?
Administrative delivery may fit the role after your firm reviews client permissions and sets a release process. The appraiser authorizes the final report and file set; the assistant does not certify or independently release professional work.
Will they research comparables or complete appraisal analysis?
Those are different responsibilities from the administrative role described here. Qualified appraisal work and any delegation rules must be assessed by your firm. We do not assume a virtual assistant is authorized to perform valuation tasks.
How do we prepare an assistant for our assignment workflow?
Bring a representative order, appointment record and client update. We discuss the tools, permissions and responsibilities, then prepare the assistant for the agreed role before handoff.

Keep the assignment record ready for the appraiser.

Show us the scheduling, status and document follow-up that interrupt valuation work. We will help define an administrative role with a clear owner at each handoff.
