Knows The Drill

For property managers and portfolio operators

Property management virtual assistants

Tenant messages, vendor updates and open requests need someone following through. Get a dedicated virtual assistant prepared for property management and the responsibilities around your portfolio. Knows The Drill handles recruiting and industry-specific preparation before your assistant joins your team.

Find your assistant

One open request. Several people. A clear next step.

A maintenance request passes through a tenant, an office inbox and a vendor before a visit is confirmed. Meanwhile, renewal dates and owner questions keep arriving. Each item needs a visible status and a next step.

Start with a queue your team understands. Provide a place to record requests, an approved contact list and escalation instructions. The assistant coordinates the follow-through around your managers' judgment and the work on site.

The work to hand off

Keep the records around your properties current.

01

Organize tenant communication

An assistant can log messages by property and unit, send approved acknowledgments and direct questions to the responsible manager. Provide response templates and escalation contacts so the record shows what the tenant reported, what was communicated and who needs to take the next step.

What you get back: A tenant-request queue with status and responsible contacts

02

Follow up on maintenance

Once a manager has set the priority and approved the vendor, an assistant can coordinate availability, confirm visit details and request progress updates. Completion notes and supporting files return to the manager for review, with overdue or unanswered items clearly identified.

What you get back: A maintenance update with appointments and outstanding questions

03

Maintain property administration calendars

Using dates and requirements supplied by your team, an assistant can maintain renewal reminders, inspection appointments and document checklists. They can request approved paperwork and record what has arrived. Your manager determines what the documents mean and whether further action is required.

What you get back: An administrative calendar with dates and missing inputs

04

Prepare manager update packs

Provide a reporting template and approved information sources. An assistant can gather open-request statuses, vendor responses and scheduled visits into a concise update. Conflicting or missing information is flagged for review instead of being treated as a confirmed property or financial fact.

What you get back: A review-ready update on open property administration

Shape the role around the workload

Do maintenance updates keep returning to your desk?

A useful fit when

  • Tenant requests and vendor follow-ups create a steady queue across your properties.
  • A property manager sets priorities and approves vendors, while someone else can own the records and scheduling follow-through.

Discuss the setup first

  • You need evening or weekend coverage as well as daytime coordination; agree the coverage and escalation plan during matching.
  • Property access depends on someone being on site, but there is no designated contact to arrange entry.

Managed support provides a dedicated, full-time assistant. Direct-hire responsibilities, hours and employment terms are agreed during matching.

Keep property decisions with your managers.

Define which messages the assistant handles and which need a manager immediately. Agree support hours, access and the escalation route before starting, with responsibility for property decisions and on-site work clearly assigned.

  • Managers retain tenant selection, lease decisions and interpretation of obligations.
  • Vendor approval, access authorization and spending decisions stay with your team.
  • Emergency response and acceptance of completed work remain with designated professionals.

Recruit. Prepare. Hand over.

Recruited for you. Trained for your industry.

First, we discuss your niche and the work you want your assistant to own. Then we recruit and prepare them in depth for the industry and responsibilities agreed with you before handoff. The matching conversation defines the skills, tools and preparation time your role needs.

We assess English fluency, practical problem-solving and independent judgment, so your assistant can work through the next step and recognize when to bring you in.

The examples on these pages are a starting point. Bring the broader range of work you want covered to the matching call. We agree responsibilities, preparation time, working hours, fees and terms before you start.

Before you bring someone on

Can an assistant work in AppFolio, Buildium or our existing system?
We discuss your property system and the tasks you want handled during matching, then prepare the assistant for the agreed property-management role before handoff. Bring your platform, portfolio workflows and any required prior experience. We also agree the necessary access, review arrangements and preparation time.
What happens when a tenant reports an emergency?
Your business needs a designated emergency contact and response procedure. An assistant can follow the agreed reporting and escalation instructions during their arranged hours. This is administrative support, so the role should not be presented to tenants as an emergency-response service.
Can the role cover more than one property?
The role can be discussed around a portfolio rather than one address. Bring the volume and types of requests, the systems involved and your reporting expectations. Those details are more useful for defining the workload than a property count alone.
Can an assistant communicate with owners and vendors?
Routine scheduling, information requests and approved status updates can be included in the scope. Give the assistant a clear sender identity, templates and review rules. Questions about spending, liability, tenant decisions or the quality of repair work go to your designated manager.
What does property management assistant support cost?
We discuss pricing after understanding the role. Managed support includes a dedicated full-time assistant and ongoing support from our team for a monthly fee. With direct hire, you pay a placement fee and hire the assistant into your team. Scope and terms are agreed before starting.

Give your portfolio a consistent point of follow-through.
