Knows The Drill

For business brokers and M&A advisory teams

Virtual assistants for business brokers

Keep buyer inquiries and deal preparation organized around the conversations only you can lead. Your assistant can maintain the administrative trail from inquiry to the next broker review. Knows The Drill recruits and prepares them for your brokerage and agreed responsibilities before handoff.

Find your assistant

A buyer inquiry needs a controlled next step.

An interested buyer asks for information. The right form is still missing, the seller call needs arranging, and a diligence request has arrived in a separate thread. You need the context together before deciding what can move forward.

An assistant can track those inputs, prepare meetings and follow up on the requests you authorize. Your brokerage controls qualification, access to sensitive materials and the substance of the deal.

The work to hand off

Keep each deal's open requests in view.

01

Organize buyer inquiries

Record the inquiry source, opportunity reference and fields your brokerage requests. Track missing intake information and prepare a concise handoff for the broker responsible for deciding the next step.

What you get back: A buyer inquiry record ready for broker review

02

Track forms and access requests

Maintain the status of the forms and permissions your team requires before sharing material. Gather the relevant records and route the access request to its approver.

What you get back: An access-review queue linked to the required records

03

Prepare buyer and seller meetings

Coordinate availability and gather the approved materials, conversation history and unresolved questions. Keep the meeting purpose and participants clear without disclosing information outside your instructions.

What you get back: A meeting brief with the right material for its audience

04

Maintain diligence follow-up

Log requests using the deal team's categories and owners. Track documents received, follow up on authorized requests and show which items still need substantive review.

What you get back: A diligence request tracker with receipt and review statuses

Shape the role around the workload

Where can your deal process use administrative ownership?

A useful fit when

  • You regularly chase intake forms or assemble the same meeting materials.
  • Diligence requests need a clearer status and responsible person.

Discuss the setup first

  • You need independent valuation, negotiation or licensed brokerage activity.
  • Sensitive seller information is mixed into records without a defined access process.

Managed support provides a dedicated, full-time assistant. Direct-hire responsibilities, hours and employment terms are agreed during matching.

Your brokerage controls the deal and its disclosures.

Agree the assistant's permitted activity with the responsible brokerage professionals. Information preparation should support a decision without assuming authority to make it.

  • Valuation, buyer qualification, negotiation and deal advice stay with your authorized team.
  • A received form does not itself authorize disclosure or access to a data room.
  • Your brokerage reviews the role's duties, access and any applicable professional requirements before assigning them.

Bring one inquiry that takes too much coordination.

  • 01Your intake fields and approved stages from inquiry to meeting.
  • 02The forms and permissions required before material is shared.
  • 03Your CRM, document systems and required experience.
  • 04Reviewers, communication rules and the team that handles exceptions.

Before you bring someone on

Can an assistant help with buyer qualification?
They can collect the fields and documents your brokerage specifies and organize them for review. The broker determines whether the buyer meets the criteria and what may happen next. The assistant's role and permitted activity are agreed before work begins.
Can the assistant send an NDA or information memorandum?
They can coordinate the administrative steps your brokerage authorizes. Use your approved documents and review process. Sending sensitive materials or granting access requires the designated person's approval; receiving a signed form alone does not settle that decision.
Can they help with a confidential sale?
Describe the information controls, permitted communications and access requirements during matching. We can scope the administrative work within those arrangements. Your brokerage reviews the proposed access and sharing process before the assistant handles confidential deal material.
Can the assistant maintain our deal CRM and data room records?
Recordkeeping and request tracking can be included where permitted. Bring the exact tools and duties, including any required experience. We recruit and prepare the assistant for the agreed business brokerage responsibilities before handoff.
Can the assistant conduct a valuation or negotiate an offer?
Those responsibilities remain with your qualified team in the workflow described here. An assistant can assemble supplied material and coordinate the next conversation so the broker has the context needed to assess and negotiate.
