Knows The Drill

For home inspectors and inspection teams

Virtual assistants for home inspectors

Stay with the inspection while someone keeps the next appointment organized. KTD recruits and prepares an assistant for your booking process, access coordination and agreed client follow-up before handoff.

Find your assistant

A booked time is only part of a ready appointment.

The buyer chose a time, but the access contact has not confirmed. Someone added a service request, and the inspector needs the latest instructions before leaving for the property.

An assistant can bring those details into one appointment file. You see the requested service, confirmed access and open questions before the day starts, with report delivery tracked after your review.

The work to hand off

Give each inspection a complete administrative handoff.

01

Capture the booking request

Record the property, requested services, participants and available windows using your intake process. Flag missing details for the person who confirms the inspection scope.

What you get back: An inspection inquiry ready for scheduling

02

Confirm property access

Coordinate with the authorized access contact and record the agreed instructions. Keep an unconfirmed access arrangement visible even when a calendar slot has been reserved.

What you get back: An appointment record with access status

03

Prepare the inspector's schedule

Collect the latest contact details, location notes and approved service information. Carry changes into the appointment brief so the inspector does not have to reconstruct the email thread.

What you get back: A working schedule with current appointment briefs

04

Track approved report delivery

Send the final report through your authorized channel after the inspector releases it. Record delivery and route questions about findings back with the relevant report reference.

What you get back: A report-delivery log and client question queue

Shape the role around the workload

Does coordination follow you into the field?

A useful fit when

  • Inspection inquiries, access confirmations and report follow-up recur throughout the week.
  • Your team can provide intake questions, calendar rules and report-release instructions.

Discuss the setup first

  • You need someone to perform inspections or interpret findings.
  • Appointments are too sporadic to define an ongoing workload, or access ownership is unclear.

Managed support provides a dedicated, full-time assistant. Direct-hire responsibilities, hours and employment terms are agreed during matching.

The inspection belongs to the inspector.

Your assistant handles the surrounding coordination. Name the person who decides scope and responds to technical questions.

  • Inspection work, findings and professional explanations remain with the inspector.
  • The inspector determines service scope, report content and release readiness.
  • Property access, client information and scheduling changes follow your authorized instructions.

Bring a booking from inquiry through delivery.

  • 01Your booking questions and approved service descriptions.
  • 02Access-confirmation process and calendar buffers.
  • 03Report delivery rules, tools and required prior experience.
  • 04Working hours, escalation contact and common appointment exceptions.

Recruit. Prepare. Hand over.

Recruited for you. Trained for your industry.

First, we discuss your niche and the work you want your assistant to own. Then we recruit and prepare them in depth for the industry and responsibilities agreed with you before handoff. The matching conversation defines the skills, tools and preparation time your role needs.

We assess English fluency, practical problem-solving and independent judgment, so your assistant can work through the next step and recognize when to bring you in.

Before you bring someone on

Can an assistant schedule inspections with agents and clients?
Yes. They can coordinate availability, collect booking details and request access confirmation. Your team sets the service scope, inspector assignment and any scheduling restrictions.
Can they answer questions about inspection findings?
Technical explanations go to the inspector. An assistant can record the question, connect it to the correct report and arrange the next conversation.
What happens when access is not confirmed?
The appointment record should show the missing confirmation and who is being contacted. Your designated person decides whether to hold, move or otherwise change the visit.
How do you prepare someone for our inspection business?
We discuss your intake process, scheduling and report systems, required skills and hours. KTD recruits and prepares for the inspection niche and agreed responsibilities before handoff; preparation time is agreed during matching.
Can I use managed support or hire directly?
Both are available. Managed support is a dedicated, full-time assistant with ongoing KTD support for a monthly fee. Direct hire covers recruitment and training for a placement fee before you hire into your team. We agree scope, hours and terms first.
