Knows The Drill

For manufacturing owners and purchasing teams

Manufacturing virtual assistants

Give your buyers an organized set of answers instead of another inbox to sort. Your assistant can coordinate quote requests, supplier follow-up and purchase order records. Knows The Drill recruits and prepares them for your manufacturing business and agreed responsibilities before handoff.

Find your assistant

Turn supplier replies into a clear purchasing comparison.

One supplier quoted a different quantity. Another left the delivery date open. A third is waiting for a revised specification. Before a buyer can choose, someone needs to gather the replies, identify the differences and make the unanswered questions visible.

Give an assistant the approved request and the fields your purchasing team wants compared. They can maintain that record, chase missing responses and follow the order after approval. Your buyers and technical team retain the decisions about suitability, terms and what gets ordered.

The work to hand off

Keep purchasing administration ready for a buyer's decision.

01

Coordinate requests for quotation

Using the request package and supplier list approved by your buyer, an assistant can distribute RFQs and log acknowledgments. They can follow up on missing replies and record supplier questions. Changes to specifications, quantities or required dates go back to the person authorized to approve them.

What you get back: An RFQ tracker with acknowledgments, response dates and open questions

02

Organize supplier quote comparisons

Capture the fields your buyer specifies, such as quoted quantity, unit price, lead time and stated exclusions, with a link to each source. Your assistant can flag missing values and differences for review. They do not treat alternative materials or different units as equivalent without your team's direction.

What you get back: A quote comparison with source documents and differences marked for review

03

Follow up on approved purchase orders

Once your buyer approves an order, an assistant can coordinate its administrative follow-up: request acknowledgment, record the supplier's stated dates and track the next update. A change in price, quantity or timing is brought back with the original order and supplier message for a decision.

What you get back: A purchase order follow-up log with acknowledgments and reported changes

04

Prepare order and document records

Work from your checklist to organize order correspondence, delivery records and supplier documents in the agreed location. An assistant can identify missing files, label versions and prepare the packet your receiving or accounts team requests. Technical discrepancies and document acceptance remain with the responsible specialists.

What you get back: An organized order record with missing documents and review owners

Illustrative example — not a client record

A supplier quote with an unresolved unit difference

Use this comparison record to expose a quantity mismatch before the buyer treats a quote as matching the request.

Requested item and quantity
Example entryMC-013: the buyer's request asks for 120 pieces of the specified bracket.
What to provide or checkKeep the required item and unit of measure attached to the comparison.
Quoted quantity
Example entryThe supplier quotes 12 cases of that bracket.
What to provide or checkRecord the quote's own unit rather than silently converting it.
Missing pack detail
Example entryThe quote does not state how many pieces are in each case.
What to provide or checkIdentify the missing value needed to compare the quantities.
Comparison status
Example entryQuantity match unresolved; 12 cases has not been recorded as 120 pieces.
What to provide or checkMake the unverified assumption visible in the buyer's comparison.
Next action and owner
Example entryThe assistant requests the case quantity from the supplier; the buyer reviews the reply before accepting the comparison.
What to provide or checkSeparate collection of the missing fact from the purchasing decision.

Ready to hand over when: The buyer can see both original units, the missing pack quantity and the source documents, with no assumed conversion presented as a confirmed match.

Shape the role around the workload

Are quote details keeping buyers in the follow-up queue?

A useful fit when

  • Purchasing creates recurring quote requests, supplier replies and order records that need organizing.
  • Buyers can define the comparison fields and resolve differences while an assistant collects the inputs and follows up.

Discuss the setup first

  • The role requires technical interpretation of drawings or materials as well as coordination; define the expertise and review responsibilities during matching.
  • Suppliers use different units or item references, and your team has not provided a source for checking those differences.

Managed support provides a dedicated, full-time assistant. Direct-hire responsibilities, hours and employment terms are agreed during matching.

Make the information clearer. Keep approval with your team.

An assistant can organize purchasing inputs and keep follow-up moving when your team defines the source records, approval points and escalation contacts. Decisions about the product and the purchase stay with their designated owners.

  • Engineering, material substitutions, technical equivalence and quality acceptance remain with your qualified team.
  • Authorized buyers select suppliers, approve purchase orders and agree changes to prices, quantities or terms.
  • Your technical reviewers approve supplier certificates, compliance documents and controlled-document handling.

Bring one purchasing cycle with too much chasing.

  • 01An example RFQ, approved supplier list and the fields your buyers compare.
  • 02Your purchase approval steps and the changes that require a buyer's decision.
  • 03Your ERP, purchasing and document tools, with required experience and access limits.
  • 04Supplier contact rules, coverage hours and your purchasing, engineering and receiving contacts.

Before you bring someone on

Can an assistant prepare RFQs and compare supplier quotes?
An assistant can coordinate an RFQ from your team's approved specifications and organize responses in the comparison format you provide. The buyer reviews commercial differences, and technical reviewers assess suitability. A comparison should preserve each supplier's assumptions and identify missing information rather than hide differences behind a single price.
Can the assistant negotiate with suppliers or approve a purchase?
Supplier follow-up can be included in the role using the scope and wording you approve. The workflow described here leaves negotiation, supplier selection and purchase authorization with your buyers. Any broader purchasing responsibility needs to be discussed explicitly during matching, including the experience and authority it requires.
Can an assistant work in our ERP or purchasing system?
Bring the system and specific tasks to matching, such as recording acknowledgments, updating an approved order log or organizing supplier documents. We recruit and prepare the assistant for your agreed manufacturing responsibilities before handoff. Required prior experience, access and preparation time are scoped with you.
Can the assistant handle technical drawings or supplier certificates?
Document administration can include filing the versions your team identifies, recording receipt and routing files to the designated reviewer. Engineering interpretation, certification checks and quality acceptance remain with your qualified team. Specify document access and handling requirements before these materials are included in the role.
What hiring arrangements are available for a manufacturing assistant?
Managed support provides a dedicated, full-time assistant through our service for a monthly fee, with ongoing team support. Direct hire covers recruitment and training for a placement fee before you hire the assistant into your team. We agree the responsibilities, price and terms before you start.
