Virtual assistants for print and promotional products

Keep the order moving without losing the latest proof or the customer's last change. An assistant can organize job details, coordinate revisions and follow up with suppliers. Knows The Drill recruits and prepares your assistant for your production workflow before handoff.

Find your assistant

Make the next production handoff easier to trust.

A customer changes the quantity after the proof arrives. The supplier asks which artwork version to use. The requested delivery date is approaching, but the job folder does not show whether the customer has approved the current proof.

An assistant can keep the administrative record together: order details, proof history, approval evidence and open questions. Your account and production teams decide when the job is ready to move.

The work to hand off

Keep every order's details, proof and status together.

01

Prepare complete job records

Gather product references, quantities, decoration details, artwork files and the customer's requested date. Record missing inputs before the job reaches estimating or production.

What you get back: A job record with the customer's request and missing fields

02

Coordinate proof revisions

Organize proof versions, collect the customer's comments and route them to the responsible designer or supplier. Keep the latest requested change separate from the version that has been approved.

What you get back: A proof history with clear review and approval status

03

Follow up with production partners

Track supplier acknowledgments, questions and confirmed production or shipping updates. Flag a response that conflicts with the current order details.

What you get back: A supplier follow-up queue tied to each job

04

Prepare delivery and reorder records

Collect tracking references and delivery updates, then organize the approved product and artwork records for future requests. Route a reorder through your current pricing and availability checks.

What you get back: A delivery record and a reusable reference for the next order

Shape the role around the workload

Where does order coordination slow your team down?

A useful fit when

  • Account staff spend recurring time locating proof comments and supplier responses.
  • Jobs need a consistent owner for missing details and approval follow-up.

Discuss the setup first

  • You need a designer, prepress specialist or production estimator.
  • Customers change scope through several channels without an agreed approval record.

Managed support provides a dedicated, full-time assistant. Direct-hire responsibilities, hours and employment terms are agreed during matching.

A clean job record supports a production decision.

Your assistant organizes the evidence around the order. Your specialists remain responsible for the artwork and manufacturing decisions.

  • Artwork creation, prepress checks, color matching and production suitability require the relevant specialist skills.
  • Your team authorizes pricing, substitutions, production release and delivery commitments.
  • Customer approval must identify the intended proof version; a casual reply or earlier approval is not treated as a new release instruction.

Bring us a job with a few rounds of revisions.

  • 01Your order intake fields and one completed job folder.
  • 02The way you name proof versions and record customer approval.
  • 03The contacts who own design, supplier questions and production release.
  • 04Your order system and the customer updates an assistant can send.

Before you bring someone on

Can an assistant chase artwork and proof approvals?
Yes. They can collect files, organize versions, follow up for customer comments and maintain the approval record. Your designer or production team decides whether the material is suitable and ready for release.
Will they create print-ready artwork?
That is a separate skills requirement. Tell us whether the role needs file coordination, artwork edits or specialist prepress work. We assess the actual responsibilities during matching rather than assuming every assistant can perform them.
Can they work with several suppliers on one order?
Yes. Each supplier needs a clear reference, required response and owner for exceptions. The assistant can maintain the combined status while your account team handles changes to product, price or delivery commitments.
How do we prevent the wrong proof from being used?
Agree a naming rule, a place for the current version and a release process that records approval against that version. An assistant can maintain those records and flag inconsistencies before your team releases the job.
Can this cover both a print shop and promotional products orders?
Yes, if the responsibilities and systems fit the role. Explain how orders enter, where proofs are reviewed and who works with suppliers. We prepare the assistant for that agreed process before handoff.

Give each job a clear next step.

Show us where artwork, approvals and supplier replies fall out of sync. We will help define an assistant role that keeps the order record ready for your next decision.
