Knows The Drill

For software agencies delivering client projects

Virtual assistants for software development agencies

Give client requests and project follow-up an organized path to the delivery team. An assistant can gather missing inputs, maintain decision records and coordinate reviews. We recruit and prepare them for your software agency and the responsibilities agreed before handoff.

Find your assistant

A client message should not quietly become a development commitment.

The client asks for a new export format during a review. The project board has a ticket, but the team has not estimated it and nobody has agreed whether it belongs in the current scope. A status update that calls it scheduled can create the wrong expectation.

An assistant can record the request, gather its context and track the decision. Your delivery lead and engineers keep ownership of feasibility, scope and release readiness.

The work to hand off

Keep coordination work visible across client projects.

01

Client input collection

Request the assets, access contacts and decisions listed by your delivery lead. Track what arrived, which project it belongs to and who needs to review it.

What you get back: A project-input register with missing items and review owners

02

Meeting and decision records

Coordinate reviews and prepare agendas from open questions. Capture the decisions confirmed by the team and follow up on assigned actions.

What you get back: A decision-and-action record linked to the relevant project

03

Change-request administration

Record the client's requested change, source message and affected deliverable. Route it for estimation and scope review, then keep the agreed outcome visible in the project record.

What you get back: A change log that separates requested, reviewed and authorized work

04

Delivery handoff preparation

Gather the documents, review acknowledgments and client-facing instructions your delivery lead identifies. Track unresolved administrative items before a handoff is described as complete.

What you get back: A delivery checklist with confirmed materials and remaining decisions

Illustrative example — not a client record

A change-request decision card

This example keeps a requested export option separate from work the agency has agreed to deliver.

Request
Example entryIllustrative project D-05: client asks for a second export format.
What to provide or checkRetain the original message and the requested outcome.
Current scope
Example entrySigned scope lists one export format.
What to provide or checkLink the scope version used for the comparison.
Assessment status
Example entryEngineering review requested; effort and timing not yet confirmed.
What to provide or checkDo not treat an open ticket as an estimate or commitment.
Decision owners
Example entryTechnical lead assesses effort; account lead agrees commercial scope.
What to provide or checkSeparate technical input from authority to commit the agency.
Client update
Example entryRequest recorded and under review; no delivery date promised.
What to provide or checkUse an update that matches the actual decision state.

Ready to hand over when: The agency can locate the scope, the pending assessment and the next decision without mistaking the request for scheduled work.

No email required. The file includes field names and guidance, with blank spaces for your own inputs. Use it to describe the work during matching; keep private client information out of an initial inquiry.

Shape the role around the workload

Would a coordination role help your delivery team?

A useful fit when

  • Several client projects generate recurring meetings, input requests and decision follow-up alongside development work.
  • A delivery lead can set priorities and resolve scope or technical questions.

Discuss the setup first

  • If the work requires a developer, QA engineer, technical project manager or product owner, define those skills separately.
  • An assistant cannot solve unclear scope ownership by maintaining a more detailed task list; name the decision maker first.

Managed support provides a dedicated, full-time assistant. Direct-hire responsibilities, hours and employment terms are agreed during matching.

Engineers and delivery leads retain their decisions.

The assistant makes the coordination record clearer; a ticket or meeting note does not itself authorize work.

  • Architecture, code, security, testing conclusions and deployment approvals remain with the qualified delivery team.
  • Your agency approves estimates, scope changes, acceptance criteria and commercial commitments.
  • Client credentials, production access and repository permissions must match an explicitly agreed role; coordination does not require broad administrator access.

Bring a project with too many unanswered coordination requests.

  • 01Your scope record, project stages and change-request process.
  • 02Examples of client inputs and the reviewer for each type.
  • 03Meeting, action and delivery-checklist formats your team already uses.
  • 04Your project tools, client communication rules, working hours and access limits.

Recruit. Prepare. Hand over.

Recruited for you. Trained for your industry.

First, we discuss your niche and the work you want your assistant to own. Then we recruit and prepare them in depth for the industry and responsibilities agreed with you before handoff. The matching conversation defines the skills, tools and preparation time your role needs.

We assess English fluency, practical problem-solving and independent judgment, so your assistant can work through the next step and recognize when to bring you in.

Before you bring someone on

How does this differ from a SaaS assistant?
A software agency coordinates delivery for external clients under project scopes. This page focuses on client inputs and change decisions. Our SaaS page focuses on operations around a product business, including sales-to-customer-success handoffs.
Can the assistant manage our project board?
They can maintain the records and statuses your team authorizes, gather missing context and follow up on actions. Prioritization, estimates and technical completion remain with the designated delivery owners.
Will the assistant write code or approve releases?
Those are not assumed responsibilities in this coordination role. If you need technical production work, describe the skills, review process and access required during matching.
Can they speak with clients about changes?
They can acknowledge requests, ask agreed clarifying questions and communicate decisions made by your team. They should not turn a request into a price, scope or delivery commitment without the agency's authorization.
What is the hiring process?
We discuss your recurring workload and tools, then recruit and prepare the assistant for the agreed responsibilities before handoff. Managed support is dedicated and full-time with a monthly fee; direct hire covers recruitment and training for a placement fee. Hours and terms are agreed with you.
