Virtual assistants for fitness studios

Keep class and membership administration from taking over every break between sessions. An assistant can organize inquiries, waiting lists and member follow-up around the schedule your team confirms. We recruit and prepare them for your studio and agreed responsibilities before handoff.

Find your assistant

A canceled place is not the same as a confirmed booking.

Someone wants a trial class, another member has canceled and the instructor is teaching. Your office needs a clear rule for who can take the open place and when it becomes theirs.

An assistant can apply that rule, track replies and keep exceptions visible. Your instructors and on-site team continue to decide class suitability, physical capacity and what happens in the room.

The work to hand off

Build a dependable administrative rhythm around classes.

01

Trial and membership inquiries

Record the program someone is asking about, provide your current information and coordinate a trial or consultation from the slots your team makes available.

What you get back: An inquiry list with the next contact and confirmed booking status

02

Schedule and waiting-list coordination

Maintain changes to the published schedule and contact waiting-list members under your booking rules. Record the difference between a place offered and a place accepted.

What you get back: A class-status record with open offers and confirmations

03

Member account follow-up

Gather the details of a freeze, cancellation or billing question and route exceptions to the manager. Send the routine reminders or information your policy allows.

What you get back: A member-request queue with policy questions assigned

04

Instructor and office handoffs

Collect availability updates and prepare the administrative notes the front desk needs. Keep health-related concerns with the appropriate qualified person.

What you get back: A schedule-change brief for the studio team

Shape the role around the workload

Is the studio workload ready for a dedicated assistant?

A useful fit when

  • You have recurring inquiries, membership requests and schedule changes across a regular class calendar.
  • The front desk or manager can confirm on-site facts and define the booking rules.

Discuss the setup first

  • A small occasional class schedule may not justify full-time managed support; discuss the actual workload first.
  • An assistant cannot provide physical reception, emergency response or instructor coverage remotely.

Managed support provides a dedicated, full-time assistant. Direct-hire responsibilities, hours and employment terms are agreed during matching.

The instructor remains responsible for the class.

Define the administrative rules once and identify the people who handle suitability, payment and on-site exceptions.

  • Exercise advice, health screening and decisions about safe participation belong to qualified staff.
  • The studio controls class capacity, instructor substitutions and any on-site response.
  • Membership exceptions, refunds and charges follow the authority assigned by your manager.

Start with the class or member queue that needs attention.

  • 01Your live schedule, booking rules and waiting-list order.
  • 02Approved descriptions of memberships, trials and class requirements.
  • 03The contacts for instructor questions, billing issues and on-site changes.
  • 04Your booking tools, response coverage and permitted member-data access.

Recruit. Prepare. Hand over.

Recruited for you. Trained for your industry.

First, we discuss your niche and the work you want your assistant to own. Then we recruit and prepare them in depth for the industry and responsibilities agreed with you before handoff. The matching conversation defines the skills, tools and preparation time your role needs.

We assess English fluency, practical problem-solving and independent judgment, so your assistant can work through the next step and recognize when to bring you in.

Before you bring someone on

Can an assistant book trial classes?
Yes, booking coordination can use the availability and eligibility rules your studio provides. The role needs a reliable schedule and a contact who can settle on-site or participant-suitability questions.
Can they manage cancellations and a waiting list?
They can record changes, contact members and update confirmed bookings within your rules. Agree the offer order, response window and exceptions so that an unanswered message does not create a double booking.
Will they give fitness or nutrition advice?
The coordination role described here does not replace an instructor or qualified health professional. Requests about exercise, injury or nutrition go to the appropriate person.
What about our studio management software?
Bring the tool and tasks to matching, including which records may be accessed and changed. We recruit and prepare the assistant for the agreed studio workflow; specific software experience and preparation time are discussed first.
How does the hiring model work?
Managed support is a dedicated, full-time assistant with ongoing team support for a monthly fee. Direct hire covers recruitment and training for a placement fee before you hire the person. Responsibilities, hours and terms are agreed with you.

Keep the class calendar and the conversation together.

Show us where member replies and schedule updates pile up. We will help define the coordination work your studio can hand over.
