For photographers and studio owners

Virtual assistants for photography studios

Give your clients a clear path from booking to their finished gallery. Your assistant coordinates details, tracks selections and follows through on delivery. KTD recruits and prepares for your photography workflow and agreed role before handoff.

Find your assistant

The shoot is finished. The client work continues.

A gallery is ready to send, one client has not made selections, and another asks to change an album choice. That follow-up can sit between editing sessions and the next shoot.

An assistant can keep the client record moving through the stages you define. You see what has been delivered, what the client still needs to do and which choice is waiting for your review.

The work to hand off

Keep each client project moving toward delivery.

01

Coordinate shoot preparation

Collect the questionnaire, participants and location details your studio requests. Confirm the schedule and bring unresolved requests to the photographer.

What you get back: A shoot brief with confirmed logistics and open questions

02

Organize gallery delivery

Use your release instructions to prepare the client message and the approved gallery link. Record when it was sent and any access question that follows.

What you get back: A gallery-delivery record linked to the client project

03

Follow up on client selections

Track the selections and deadlines in your process. Request missing choices and keep revised selections identifiable so your team works from the right set.

What you get back: A selection tracker with current choices and outstanding items

04

Coordinate album or order handoffs

Gather the approved selections, supplied production requirements and client confirmations. Flag a change before it enters the next production or delivery step.

What you get back: An order handoff with approval and version status

Shape the role around the workload

Does client follow-up compete with shooting and editing?

A useful fit when

  • Several projects regularly need booking details, gallery delivery or selection follow-up.
  • Your studio has clear release rules and someone to decide creative requests.

Discuss the setup first

  • Most work is a short seasonal burst or a few isolated shoots.
  • You need specialist editing or retouching experience that should be assessed during matching.

Managed support provides a dedicated, full-time assistant. Direct-hire responsibilities, hours and employment terms are agreed during matching.

You keep the creative decisions.

Define what the assistant can send and which client requests need the photographer's review.

  • Image selection, editing standards and creative direction remain with your studio.
  • You approve package changes, retouching commitments and production releases.
  • Image rights, releases and access permissions follow your authorized process.

Recruit. Prepare. Hand over.

Recruited for you. Trained for your industry.

First, we discuss your niche and the work you want your assistant to own. Then we recruit and prepare them in depth for the industry and responsibilities agreed with you before handoff. The matching conversation defines the skills, tools and preparation time your role needs.

We assess English fluency, practical problem-solving and independent judgment, so your assistant can work through the next step and recognize when to bring you in.

Before you bring someone on

Can an assistant send galleries to clients?
Yes, after your studio authorizes the gallery and delivery message. The assistant can record delivery, coordinate access questions and follow the next stage in your process.
Can they chase missing image selections?
Yes. Provide the selection rules and timeline. The assistant can track what has arrived, request missing choices and flag a change for your review.
Does this include photo editing?
Editing requirements can be discussed during matching if they are part of the role you want. This page's workflow focuses on client coordination and delivery; it does not assume a particular editing skill or software background.
How do you prepare for my photography business?
KTD recruits and prepares for your studio workflow and agreed responsibilities before handoff. We discuss required skills, systems, working hours and preparation time, including how client approvals are recorded.
Can I choose managed support or direct hire?
Managed support provides a dedicated, full-time assistant through KTD with ongoing support for a monthly fee. Direct hire covers recruitment and training for a placement fee before you hire directly. Scope, hours and terms are agreed first.
